Booking Conditions and Information
The Booking Process
Register your interest in one of our tours:
Once a minimum number of riders are interested, a $1000 deposit will be required, and the trip will go ahead!
After receiving payment your place will be secured
Information regarding flight bookings will now be communicated
The outstanding balance will be due in two more installments.
1 Month prior to the commencement of your tour date further details including arrival information, hotel contact details, itinerary, and checklist will be emailed to you.
DEPOSIT AND PAYMENT
$1000 Deposit is required once a minimum number of riders have registered interest for the trip to go ahead.
A further $3000 payment 4 months before the trip.
Full payment is required 2 months prior to tour departure.
If your tour starts in less than 8 weeks, then full payment is due with your registration.
Your deposit and final payment can be made using Direct Bank Transfer.
All prices are advertised in NZ Dollars (NZ $) based on per person/twin share.
Single persons will have an additional charge for a single room supplement.
CANCELLATION POLICY
We look forward to riding together, but if for any reason you have to cancel your tour (including medical emergencies), please notify us by email, and your cancellation fee will be based on the cancellation schedule below.
8 + weeks before departure, 75% of tour price
4 – 8 weeks 50% of tour price
0 – 4 weeks 100% of tour price
BeActiveGetaways reserves the right to cancel your tour for any reason. On this occasion, we will refund you all payments received to date, should we not be able to offer you an alternative tour. This refund will be the full extent of BeActiveGetaways's entire liability to you regarding the canceled tour. We will not be responsible for any other costs or expenses you incurred in relation to the tour, including airfares or other related expenses associated with the tour.
We will inform you at least 8 weeks before the tour date if your tour is to be canceled.
TRAVEL INSURANCE
Personal Travel Insurance is compulsory for all participants; you are required to take adequate travel insurance covering tour cancellation, accident, personal injury, and loss of luggage.
COST INCREASES
BeActiveGetaways advertises tour prices as much as a year in advance; we are occasionally faced with significant cost increases, such as currency exchange rates or costs of services that we are unable to absorb. In the unlikely event of any increase in the price of your tour, this price increase will be notified to you at least 8 weeks before your tour date.
LIABILITY
BeActiveGetaways is not liable for personal injury, death, damage to property, or other loss, whether arising from accident, cancellations, delays, or any other matter beyond our control.
PARTICIPANT
We strongly recommend a visit to your doctor to ascertain that you have good health and fitness to participate in your cycling holiday. It is a condition of your tour that an approved bicycle helmet must be worn while cycling and that you ride within your capabilities and behave in an appropriate manner at all times.
PLEASE NOTE
Even after your registration has been confirmed by email, BeActiveGetaways reserves the right to alter or cancel the advertised tour for whatever reason, and not limited to such circumstances as accommodation availability or low enrollment, or any other circumstance beyond our control and undertake to inform participants as soon as possible.
